Position Overview

The Accounts Payable Associate will play a critical role in ensuring timely and accurate processing of vendor invoices, payments, and expense reimbursements while maintaining strong vendor relationships and supporting the monthly close process. This is an excellent opportunity for someone who thrives in a structured yet dynamic environment and enjoys owning the full AP lifecycle.

Key Responsibilities

Full-cycle accounts payable processing (invoice receipt → verification → coding → approval routing → payment)
Review and verify invoices, purchase orders, and expense reports for accuracy, proper authorization, and compliance with company policies
Process weekly check runs, ACH, wire transfers, and virtual card payments in a timely manner
Reconcile vendor statements and resolve discrepancies with vendors and internal stakeholders
Maintain accurate and organized AP files and documentation for audit purposes
Assist with month-end close tasks, including AP accruals and reconciliations
Manage the corporate credit card and employee expense report program (Concur or similar)
Respond promptly to vendor and employee inquiries
Support the annual 1099 reporting process
Contribute to process improvement initiatives (automation, workflow enhancements, etc.)
Perform ad-hoc projects and analyses as requested by the Controller

Qualifications & Requirements:

Associate’s or Bachelor’s degree in Accounting, Finance, or related field (or equivalent experience)
2+ years of full-cycle accounts payable experience
Strong understanding of basic accounting principles and GAAP
Proficiency in Microsoft Excel (pivot tables, VLOOKUPs, etc.)
Experience with at least one major ERP system (NetSuite, Sage Intacct, QuickBooks, SAP, Oracle, Microsoft Dynamics, etc.)
Exceptional attention to detail and accuracy
Ability to prioritize and manage multiple tasks in a deadline-driven environment
Strong written and verbal communication skills
